Plain-language summary. Quantiva processes customer documents only to provide the platform, generate structured outputs, secure the workspace, and support the customer relationship. We do not sell customer workspace data.

1. What this notice covers

This Privacy Notice applies to Quantiva's public website, signup flow, and workspace services. It covers account data, organization data, uploaded documents, extracted structured data, analysis outputs, support communications, usage logs, and security records.

2. Information we collect

3. How we use information

We use information to provide and improve the Service, process documents, produce structured outputs, route work for human review, operate subscriptions and demo limits, secure accounts, prevent misuse, investigate incidents, provide support, comply with legal obligations, and communicate with customers.

4. Document processing

Uploaded documents and derived records are processed to deliver the requested workspace function, such as analysis, research, diligence, or agreement-review outputs. Automated extraction and structured analysis support professional judgment; final decisions remain with the customer.

Customer workspace documents are not used to train public models. Where third-party processing is used, those providers are bound by commercial, confidentiality, and data-use commitments.

5. Sharing and subprocessors

We share information only as needed to provide, secure, monitor, support, and improve the Service. This may include infrastructure, database, private object storage, document processing, email delivery, monitoring, security, and support providers. We do not name vendors publicly, but subprocessor details and assurance materials may be shared with customers or qualified prospects under NDA.

6. Security

We use administrative, technical, and organizational safeguards designed to protect customer data, including tenant isolation, access controls, encrypted transport, private document storage, secure session handling, password hashing, audit logs, backups, and retention controls. See the Security page for more detail.

7. Retention and deletion

We retain account, workspace, and document data for as long as needed to provide the Service, meet legal or contractual obligations, maintain audit records, resolve disputes, prevent abuse, and support backups. Uploaded documents may be subject to configurable lifecycle rules. Customers may request deletion or export where available and legally permitted; deleted data may remain in encrypted backups until those backups rotate.

8. International processing

Quantiva and its service providers may process and store data in jurisdictions where they operate. Where required, we rely on appropriate contractual, technical, and organizational safeguards for cross-border processing.

9. Customer controls

Workspace administrators can manage users, roles, submissions, knowledge-base files, document retention settings, and account requests. Customers may request access, correction, export, deletion, a Data Processing Agreement, or subprocessor information through their account contact.

10. Website visitors and leads

When you browse the website or request a quote, we may collect contact details, organization details, message content, and basic technical logs so we can respond, protect the site, and understand interest in Quantiva. We do not sell this information.

11. Changes to this notice

We may update this notice as the platform, legal requirements, or operating practices evolve. The "Last updated" date shows the latest version.

12. Contact

Questions about privacy, security, data exports, deletion, or a Data Processing Agreement may be sent through your organization contact or to privacy@getquantiva.com. Security reports should be sent to security@getquantiva.com.
